Office Administrator / Legal Secretary

A solo practice in Miami, FL is looking for an office administrator / legal secretary with significant experience in the legal industry. The ideal candidate will provide administrative and legal support to the firm. This is a full-time, contract position that will require an on-site commitment.

Responsibilities may include:

  • Prepare legal documents and affidavits, including briefs, pleadings, appeals, wills, contracts, legal correspondence, and real estate closing statements.
  • Organize and maintain documents in paper or electronic filing system.
  • Meet with clients and other professionals to discuss details of matters.
  • Gather and analyze research data, such as statutes, decisions, legal articles, codes, and documents.
  • Investigate and evaluate information related to legal matters such as facts or law, and search pertinent sources, such as public or personal records.
  • Direct and coordinate law office activity including legal correspondence, execution of contracts, pleadings, documents, and management of calendars/deadlines (Coordinate legal schedules or activities)
  • Processing Information — Compiling, coding, categorizing, calculating, tabulating, auditing, or verifying information or data.
  • Documenting/Recording Information — Entering, transcribing, recording, storing, or maintaining information in written or electronic/magnetic form.

Requirements:

  • 5-7 years of experience in the legal industry
  • Experience writing legal documents, conducting legal research
  • Experience performing secretarial duties which may include answering phones and emails, filing, creating and maintaining schedules, ordering supplies, copying, faxing, maintaining the office, etc.
  • Familiarity with research software such as Westlaw or LexisNexis.
